LeadCare AI (“we,” “us,” or “our”), operated by Webwise Solutions LLC, provides software that helps local service businesses follow up on missed calls and manage leads by SMS. This Privacy Policy describes how we collect, use, and share information when you visit our website, use our platform, interact with SMS programs operated through our service, or participate in our partner program.

1. Who this policy applies to

  • Business customers who subscribe to LeadCare AI.
  • Business staff who log in to manage leads and messages.
  • End users (consumers) who call or text a business phone number connected to our service.
  • Sales partners who apply for or participate in referral/commission programs.
  • Website visitors who browse our marketing site or contact us.

2. Information we collect

Depending on how you interact with us, we may collect:

  • Business contact information — business name, owner/contact name, email, phone numbers, address, industry, and account settings.
  • Customer lead information — names, phone numbers, service requests, urgency, notes, lead status, and related intake fields stored in your dashboard.
  • Phone numbers — business lines, LeadCareAI-assigned numbers, staff notification numbers, and consumer numbers involved in calls or SMS.
  • SMS and call metadata — timestamps, direction (inbound/outbound), delivery status, carrier-related metadata, and call/SMS identifiers from telecommunications providers.
  • Message content — text of SMS messages and related conversation history shown in lead timelines.
  • Account and login information — user email, role, authentication/session data, and invite status for business and admin accounts.
  • Payment and billing references — subscription status, Stripe customer/subscription identifiers, invoice/payment event references, and checkout-related records (we do not store full payment card numbers).
  • Partner onboarding information — application details, signed document metadata, referral codes, commission records, and tax information (including encrypted storage of partner tax identification numbers where collected).
  • Communications with us — support requests, contact form submissions, and correspondence.
  • Technical data — IP address, browser type, device information, and logs needed to operate and secure the service.

3. How we use information

  • Provide missed-call recovery, SMS text-back, and lead intake;
  • Qualify and organize leads using automated intake and AI-assisted classification;
  • Display leads and message history in the business dashboard;
  • Send email and SMS notifications to business staff about new leads and replies;
  • Process subscriptions and payments through Stripe;
  • Manage partner referrals, commissions, and payout batches;
  • Operate onboarding, Backup Mode / call-forwarding guidance, and account support;
  • Detect abuse, fraud, and security issues;
  • Comply with law and enforce our agreements.

4. SMS consent and marketing use

When end users interact with a participating business (for example, by calling, texting, or replying after a missed-call text-back), messages are sent in connection with that service inquiry. Businesses are responsible for obtaining any consent required by applicable law for their communications.

Mobile opt-in data and SMS consent are not sold, rented, or shared with third parties for their marketing or promotional purposes. We use phone numbers and consent-related data to operate the service for the business and end user involved in that interaction, not to build unrelated third-party marketing lists.

5. Third-party service providers

We use service providers to help operate LeadCare AI, including:

  • Twilio — voice and SMS delivery, webhooks, and telephony metadata;
  • Stripe — payment processing and subscription billing;
  • OpenAI — optional AI-assisted lead text classification and intake assistance (message content may be sent for processing when enabled);
  • SMTP / email providers — transactional email (notifications, invites, partner document copies);
  • Hosting and database providers — application hosting, storage, and backups.

These providers process data on our behalf subject to their terms and our agreements where applicable. We do not authorize them to use your data for their own unrelated marketing.

6. How we share information

We do not sell personal information. We may share information with the service providers above, with the business whose number you contacted (for consumer lead data), and as required by law or to protect rights, safety, and security.

7. Data security

We use reasonable administrative, technical, and organizational safeguards designed to protect information, including encrypted storage of partner tax identification numbers (TIN) where collected. No method of transmission or storage is completely secure, and we cannot guarantee perfect security.

LeadCare AI is not a HIPAA-covered entity and does not offer HIPAA compliance as a service feature.

8. Retention

We retain information for as long as needed to provide the service, meet legal obligations, resolve disputes, and enforce agreements. Businesses and partners may contact us to request correction or deletion of certain data where applicable, subject to legal, billing, fraud-prevention, and technical constraints.

9. Your choices

  • Consumers can opt out of SMS from a business by replying STOP to that business’s messages.
  • Consumers can reply HELP for assistance or contact the business directly.
  • Business users may update certain account information in the dashboard or by contacting us.
  • You may have additional rights under applicable privacy laws depending on your location.

10. Children

Our service is not directed to children under 13, and we do not knowingly collect their personal information.

11. Changes

We may update this Privacy Policy from time to time. The “Last updated” date above will change when we do. Continued use of the service after changes means you accept the updated policy.
